Role Purpose

Creating and maintaining large-scale operational systems and Fellow experience support for the Pre-Service Programme, in order to enable Fellows to focus on learning and development and be equipped to make an impact from day one of the Fellowship.

Principal Accountabilities

  1. Plan and execute programme events end-to-end, including venue, vendor, and guest management, to ensure smooth and high-quality delivery of PSP activities.
  2. Provide accommodation arrangements and day-to-day operational support to Fellows, serving as their key point of contact for a positive programme experience.
  3. Manage programme communications, platforms, and administrative processes, including reimbursements and distribution of learning materials, to support seamless programme delivery.
  4. Coordinate transportation and travel arrangements for Fellows and staff to ensure reliable, well-coordinated mobility throughout the programme.
  5. Maintain accurate operational records, budgets, and inventories to support sound financial and operational stewardship.
  6. Identify and implement process improvements that enhance programme operations and the participant experience.
  7. Support additional operational projects and responsibilities as assigned by the Operations Lead, contributing to the broader goals of PSP.

  • Proficient in Google Workspace (Docs, Sheets, Slides) for day-to-day operational work.

Experience & qualification

  • Bachelor's degree in any field.
  • Prior experience in event and logistics management and stakeholder engagement is preferred.
  • Willingness to work on shift-based schedules, including early mornings, evenings, and weekends as required.
  • Willingness and ability to travel to programme locations throughout the programme duration.
  • Strong written and verbal communication skills, with proficiency in English and basic proficiency in Bahasa Malaysia.
  • Willingness and ability to learn and adopt TFM systems and digital platforms, including Confluence, Zoom, and other internal tools used for programme operations.
