Role: Pre-Service Programme (PSP) Operations Assistant

Employment Type: 5-months Contract

MISSION FOR THE ROLE

The Pre-Service Programme is a preparatory course for Fellows before the Fellowship and the aim is for Fellows to be empowered collective leaders that are equipped to make impact since day 1 of Fellowship and have vision for systemic change.

The mission of the Programme Operations Assistant is to assist the Operations Associates and Events Manager in ensuring the seamless planning and deliveries of PSP 2026 operational logistics. By effectively coordinating resources and support systems, the role aims to create an efficient and collaborative environment during the PSP period.

KEY MEASURES OF SUCCESS

  1. Logistical Planning Satisfaction: Satisfaction of teachers and stakeholders with the logistical planning of training activities through surveys and feedback forms. Aim for a target satisfaction rate of 85% or higher.
  2. Value for Money: Achieve a positive value-for-money rating from at least 90% of participants will indicate successful resource allocation and impact.
  3. Timely Delivery: All training and engagement activities achieved 80% completion on agreed timeline

DUTIES AND RESPONSIBILITIES

In order to achieve the mission for this role, the PSP Operations Assistant will work closely with the Operations Lead and Events Manager and hold the following responsibilities, which include but are not limited to:

1. Pre-PSP Logistical Coordination

  • Coordination of Logistical Matters: Effectively coordinate all assigned logistical aspects related to PSP 2026, ensuring that all tasks meet the set milestones and deadlines.
  • Venue and Resource Preparation: Assist in securing venues, inventory update, and preparing necessary resources for PSP sessions, ensuring everything is in place for smooth execution.

2. Communication

  • Weekly Email Newsletter: Collaborate with the Programme Associate to prepare and deliver the weekly email newsletter to Fellows, ensuring clear and timely communication.
  • Drafting Formal Letters: Assist in drafting and preparing any necessary formal letters, ensuring they are accurate, professional, and aligned with the programme’s objectives.
  • Community Page Management: Serve as the key person in charge of managing the PSP 2025 Community Page, ensuring that all relevant information is updated and accessible to participants.

3. Support for Operations Leads

  • Assistance to Operations Leads: Provide support to the Operations Lead and Events Manager in various tasks, including event coordination, logistics management, and participant communication, to ensure the successful delivery of the PSP programme.
  • Ad-Hoc Tasks: Undertake any additional tasks as assigned by the Operations Lead or Events Manager, contributing to the overall success of PSP 2026.
