You will also have the chance to learn the ropes and understand in-depth the financial management and reporting framework for a non-profit organisation while honing your technical finance/accounting skills. As part of the Finance & Operations team, your work will have a direct and tangible impact in co-creating a sustainable, effective and efficient organisation to make TFM the greatest place to work.
Overview of the Role
The mission of the Finance & Reporting Manager is to ensure financial sustainability of the organisation through maintaining financial integrity and efficiency.
Key Measures of Success
- Maintain financial system integrity – ensure TFM’s annual audited financial account and monthly management account is completed and delivered within required timeline
- Improve financial efficiency – ensure the organisation continuously improve its financial efficiency through effective budgeting and spending process to reduce cost per Fellow over time
Duties and Responsibilities
Financial Governance – ensure efficient financial governance practices and processes, which includes the following:-
- Manage annual budget planning and semi-annual budget reviews
- Maintain and improve budget tracking system to help functional heads to make financial decisions
- Communicate budget utilisation to respective function leads and recommend cost saving on monthly basis
- Develop and maintain TFM Foundation’s finance policies and procedures to ensure there is a strong financial control system in place
- Manage outsourcing partner and administrative staff in maintaining payment systems and processes that are in compliance to TFM Foundation’s finance policies and procedures
- Manage cash flow management system that projects cash requirements and coordinate with fundraising unit to ensure a healthy cash balance
Financial Reporting – deliver accurate and relevant financial reports to key stakeholders, which include the following:-
- Manage the financial audit of TFM Foundation to ensure TFM Foundation obtains an unqualified audit report in a timely manner
- Produce semi-annual donor reports which include both financial (audited account) and no financial information that are relevant to donors
- Produce quarterly financial reports for TFM Foundation’s Board of Trustees
- Produce monthly management reports for internal analysis
- Produce any other reports which may be required from time to time
- Ensure annual tax filing is completed accurately
Fundraising Support, which include the following:
- Ensure compliance of Ministry of Finance’s policies to maintain tax exemption status
- Manage issuance of tax receipts to donors
- Collaborate with fundraising team to deliver relevant financial information and documents in order to effectively engage corporate sponsors and ensure timely drawdown of funding/support from corporate sponsors and government from time to time
- Collaborate with Fundraising team for strategic securing of funding from corporate sponsors by assessing and recommending key line items for funding
Legal and General Governance Matters - ensure TFM Foundation complies with relevant Laws and is legally protected:
- Liaise the Company Secretary and Legal Advisors of TFM Foundation in legal-related issues, which include amendments of the organisation’s constitutional documents (Memorandum and Articles of Association) and copyright matters.
Office Operations:
- Set up new offices and manage office relocations
- Manage all office related operational matters
Required Competencies
- 3-5 years of experience in accounting field, consultancy background would be an added advantage
- Strong grasp of accounting knowledge and Malaysia accounting standard
- Ability to construct full set of financial statements without guidance
- Attention to detail
- Logical and methodical thinking required to design and improve financial processes
- Strong numerical and analytical skills required for financial analysis
- Proficiency in both written and spoken English
- Competency with MS Office productivity tool (Eg word, Excel and PowerPoint)
- Familiarity with UBS Accounting system or other accounting system
- Managerial experience
