Role Purpose:

We are seeking a highly professional, organized, and proactive Confidential Secretary to support our CEO. This role requires an individual who excels in handling confidential information, managing multiple priorities, and providing comprehensive administrative support to the CEO. The ideal candidate will be a skilled communicator, adept at managing complex schedules, coordinating high-level meetings, and ensuring seamless day-to-day operations.

In This Role You Will:


  • Handle sensitive and confidential information with discretion and professionalism, including preparing confidential files, documents, and reports.
  • Review and analyze incoming correspondences and identify/undertake appropriate action including composing replies/ responses to ensure subject matter is addressed in a timely manner. Ensuring important information is processed and delivered efficiently and securely.
  • Review, plan, coordinate, prioritize and manage appointments, business visits and courtesy calls in line with the appropriate corporate /business protocols to ensure optimum time management and objectivity and Setel’s reputation and image are sustained.
  • Plan and manage the CEO’s business i.e. accommodation/ transportation/travel documentation/flight scheduling reservation, procurement of air tickets in the most cost effective and timely manner and in line with the approved policies and procedures and budget.
  • Act as a liaison between executives and internal stakeholders, including preparing agendas, gathering materials, and taking minutes. i.e. Undertake discussion, highlight issues and follow up on actions with relevant parties and advise status.
  • Maintain professional communication with clients, vendors, and partners, ensuring timely and accurate information flow. e.g. request for/clarification of information in a timely, efficient and professional manner.
  • Monitor/update/verify leave/claims application and utilization in line with Company’s policies, procedures and staff entitlement. e.g. travel, accommodation, overtime to ensure compliance with the approved policies and procedures. Support special projects and initiatives, providing research, coordination, and administrative assistance.

  • Participate/Coordinate the implementation of HSE initiatives, e.g. Workplace Safety Audit, Office Housekeeping, etc. Identify and highlight facilities requirements e.g.: office space/lighting, IT, telecommunication and air con fixtures and etc.
  • General Responsibilities : All employees are required to ensure adherence to the compliance of company policies, industry regulations and legal requirements.

You're A Great Fit If You Have:

  • Minimum of 5 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
  • Experience handling confidential or sensitive information with integrity and professionalism.
  • Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
