Job Title:- Logistics and Administrative Support (IET-Cordant)
Location:- Kuala Lumpur, Malaysia
Role Summary:-
This role supports the seamless execution of operations by coordinating logistics, training activities, procurement processes, and administrative tasks. The position plays a critical role in ensuring efficient shipment handling, training execution, and operational support while working closely with internal and external stakeholders.
Essential Responsibilities:-
- Coordinate training events including venue booking, logistics preparation, and attendee tracking
- Manage training registrations, invitations, equipment shipment, and vendor coordination
- Handle end-to-end logistics operations including shipment planning, packing, dispatch, and tracking
- Generate Air Waybills (AWB) and oversee import/export documentation and customs clearance
- Liaise with freight forwarders (e.g., DHL, FedEx) for timely delivery and pickups
- Resolve shipment delays, customs issues, and delivery exceptions
- Raise Purchase Requisitions (PRs) and Purchase Orders (POs) via Ariba
- Monitor supplier delivery timelines and manage goods receipt in SAP
- Maintain engineer certification records and compliance documentation
- Manage customer portals for PO retrieval, RFQs, invoicing, and service confirmations
- Support access control systems (XPRESS, ACE, TACI, CREW) tracking
- Prepare quotations, invoices, and commercial documentation
- Provide administrative and operational support as required
Essential Requirements of the role (Experience / Skills / Competencies):-
- Years of experience: Minimum 3 years
- Field of experience: Operations, logistics, procurement, or administrative support
- Technical Skills: Logistics coordination, procurement processes, documentation handling
- Soft Skills: Strong attention to detail, communication, stakeholder management, multitasking
- Tools or Software (Required): Microsoft Office (Excel, Word, PowerPoint), SAP/Ariba (preferred)
- Education Qualifications: Bachelor’s degree in Business Administration, Logistics, Supply Chain or related field
- Industry Background or Experience (Required): Logistics, operations, or supply chain environment
- Target Companies: Logistics firms, supply chain companies, service-based organizations
