SUMMARY OF RESPONSIBILITIES
The Executive Secretary’s primary role is to support the Executive Assistant to manage communication and tasks for the GCEO in order for him to more effectively manage the company. The Executive Secretary provides administrative support, manages communications, helps triage and prioritise tasks and requests. The Executive Secretary serves as a liaison to the board of directors, Bank Negara, and overall serves as the first point of contact for the GCEO office alongside the Executive Assistant.
KEY AREAS OF RESPONSIBILITIES
Strategic:
- Prioritise and triage emails and requests for the GCEO’s response where appropriate
- Draft, review and send communications on the GCEO’s behalf. Manage events as needed
- Conduct research and prepare presentations, spreadsheets, or reports as needed
- Review and triage financial requests and expense reports
- Assist in managing projects, ensure that things are running on track, and keep the GCEO updated
- Review documents submitted for the GCEO’s review/approval to ensure accuracy and clarity
- Be the internal cultural ambassador and keep the GCEO abreast of the company’s culture pulse. Suggest and execute ideas to improve company culture. Manage social media for GCEO
- Be the first point of contact for the GCEO office and a trusted advisor to the GCEO
Administrative:
- Manage the GCEO’s agenda, assist in planning appointments, board meetings, stakeholder engagements etc., including gathering and verifying documents and managing logistics
- Manage incoming and outgoing correspondence (phone, e-mail, letters, packages, etc)
- Ensure that confidential information/documents remain secure and managed as per the company’s document management procedure
- Manage the GCEO’s corporate and personal travel arrangements, claims and other admin matters
- Supervise the GCEO’s personal driver to ensure effective support to the GCEO
- Assist with personal/family tasks (tax filing, bank matters, reservations, etc.) as needed
- Ensure that all documents are handled consistent with the company’s policies and procedures
- Ensure security responsibilities as stated in the company’s Information Security Policy
EXPERIENCE AND EDUCATION
- Bachelor’s degree in business-related field is preferred
- Able to communicate proficiently in Malay and English
- Minimum five (5) years of relevant experience
- Proficient in Microsoft suite, SharePoint, and social media web platforms
