Overview
We are looking for a highly organized and proactive Project Executive to support project execution from planning to completion. This role requires strong coordination skills, attention to detail, and the ability to manage multiple stakeholders while ensuring timelines, quality, and safety standards are met.
Key Responsibilities
Project Coordination & Execution
- Assist the Project Manager in monitoring project progress, timelines, and budgets
- Coordinate daily site activities to ensure work aligns with the approved schedule
- Identify potential delays, risks, or issues and escalate them promptly
Documentation & Reporting
- Prepare and maintain project documentation, including:
- Site reports
- Inspection records
- Progress updates
- Ensure all project records are accurate, updated, and properly filed
Stakeholder Management
- Liaise with clients, landlords, and building management on:
- Project updates
- Site access
- Requirements and approvals
- Support customer visits and sales presentations with logistical preparation
Site Coordination & Quality Control
- Coordinate with subcontractors and on-site workers to ensure smooth execution
- Conduct regular site safety inspections and ensure compliance with safety regulations
- Perform quality checks to ensure workmanship and materials meet client specifications
Procurement & Cost Coordination
- Assist in sourcing and procurement of tools and materials
- Coordinate with internal teams and subcontractors to obtain quotations
Project Support & Handover
- Support preparation of project submissions and interior work processes
- Assist in project completion and handover, ensuring all deliverables are met
Administrative & Ad-Hoc
- Maintain strong reporting and presentation standards using Microsoft Office and relevant tools
- Perform other ad-hoc duties as assigned by the Project Manager or Management
Requirements
- Diploma or Degree in Interior Design, Architecture, Engineering, Construction Management, or related field
- 2–4 years of relevant experience in project coordination, interior fit-out, or construction
- Strong coordination and multitasking skills in a fast-paced environment
- Excellent communication and interpersonal skills
- Detail-oriented with strong problem-solving abilities
- Knowledge of site safety practices and regulations
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and project-related tools
- Willing to work on-site and travel as required
