The Office Manager is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness, efficiency, and safety.

The ideal candidate is an organized and competent professional with excellent communication skills and a proactive attitude.

 

Key Responsibilities

  • Oversee and support all administrative duties in the office and ensure that the office operates smoothly.
  • Manage office supplies inventory and place orders as necessary.
  • Perform receptionist duties: greet visitors, and answer and direct phone calls.
  • Receive and sort incoming mail and deliveries, and manage outgoing mail.
  • Develop office policies and procedures and ensure they are implemented appropriately.
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure.
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
  • Assist in the onboarding process for new hires, including ordering equipment and preparing workspaces.
  • Coordinate and schedule meetings and appointments.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.

 

Key Requirements

  • Bachelor’s degree in business administration, communications, or a related field preferred.
  • Prior experience as an Office Manager, Front Office Manager, or Administrative Assistant.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Hands-on experience with office machines (e.g., fax machines and printers).
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • Displays good initiative with an ability to suggest improvements.
