Job Overview
Responsible for planning, implementing, and maintaining the University's knowledge management, archives, and records management framework. The position oversees the lifecycle of physical and electronic records, develops policies and standards, manages institutional archives and digital repositories, and promotes best practices in information governance. Working closely with academic and administrative departments, the role ensures compliance with legal and institutional requirements while preserving the University's intellectual assets and enhancing knowledge sharing across the institution.
Responsiblities
- Develop and implement knowledge management, archives, and records management policies, procedures, and standards.
- Manage the lifecycle of institutional records from creation, classification, storage, retention, preservation, to disposal.
- Establish and maintain the University's archive and corporate memory, ensuring long-term preservation of valuable institutional records.
- Coordinate records retention schedules and ensure compliance with relevant legislation, accreditation, and University policies.
- Oversee digital records management systems, institutional repositories, and electronic document management initiatives.
- Promote knowledge-sharing initiatives and support the development of a knowledge-driven organizational culture.
- Conduct records audits and provide advisory services to faculties and departments on records management best practices.
- Organize staff awareness programmes and training related to knowledge management and records governance.
- Collaborate with internal stakeholders to improve information accessibility, security, and business continuity.
- Prepare reports, documentation, and recommendations to support strategic planning and institutional governance.
Qualifications
- Bachelor's Degree in Library & Information Science, Records Management, Archives Management, Information Management, Knowledge Management, or a related discipline.
- Minimum 3–5 years of relevant working experience in knowledge management, records management, archives, libraries, or information governance, preferably in higher education or a related sector.
- Knowledge of records management standards, archival practices, information governance, and records retention requirements.
- Experience in managing electronic document management systems (EDMS), institutional repositories, or digital archives is an advantage.
- Strong understanding of digital preservation, information lifecycle management, and data governance.
- Excellent organizational, analytical, and problem-solving skills.
- Good communication and interpersonal skills with the ability to collaborate across departments.
- Proficient in Microsoft Office applications and relevant information management systems.
- Ability to work independently, manage multiple priorities, and maintain confidentiality of institutional information
