Job Overview

The Student Management Systems (SMS) Manager is responsible for the strategic and operational management of the institution's student information system. This role ensures that the platform effectively supports academic administration, student services, compliance reporting, and decision-making. The SMS Manager will collaborate closely with academic, administrative, and IT stakeholders to enhance the student lifecycle experience-from admissions through graduation-by ensuring data integrity, system usability, and process efficiency

Responsiblities

System Administration and Operations

  • Oversee the day-to-day operations and overall performance of the Student Management
  • Manage user roles, permissions, system configuration and ensure seamless functionality across all modules.
  • Monitor and maintain data integrity, quality assurance, and system security protocols.

Process Improvement and Functional Support

  • Analyse academic and administrative workflows to identify and implement digital solutions that streamline processes.
  • Recommend, develop, and implement system enhancements, upgrades, and configurations to meet evolving institutional needs.
  • Work with internal stakeholders to understand functional requirements and translate them into system improvements.

User Support and Training

  • Serve as the primary point of contact for SMS-related issues and troubleshooting.
  • Provide timely and effective support to faculty, administrative staff, and students.
  • Design and conduct training sessions, develop user manuals, and create other support materials to facilitate system adoption and proficiency.

Data Reporting and Compliance

  • Develop and maintain a suite of reports and dashboards for academic leadership, student services, and regulatory bodies.
  • Ensure timely and accurate submission of data to the Ministry of Higher Education (MOHE), Malaysian Qualifications Agency (MQA), and other external agencies.
  • Support internal audits and external quality assurance exercises with required system-generated evidence.

Vendor and Project Management

  • Liaise with SMS vendors for support services, system enhancements, and contract negotiations.
  • Lead or participate in cross-departmental projects related to SMS implementation, integrations (e.g., LMS, Finance, HR), or the rollout of new features.
  • Apply project management principles to ensure timely delivery of SMS-related initiatives.

Qualifications

Minimum Requirements

  • Bachelor's degree in Information Systems, Computer Science, Educational Technology, Higher Education Administration, or a related field.
  • 3-5 years of hands-on experience managing a student information system (SIS/SMS) or equivalent enterprise platform.
  • More than 5 years of managing a team.
  • Strong understanding of academic processes including admissions, registration, assessment, graduation, and transcript generation.
  • Proficiency in SQL, relational databases, report-building tools (e.g., Power BI, Crystal Reports), and system configuration.
  • Strong analytical, troubleshooting, and communication skills.
  • Knowledge of Malaysian higher education regulatory requirements and standards (MOA, MOHE/KPT).

Preferred Qualifications

  • Experience with commercial student systems such as Anthology, Banner, PowerCampus, CampusNexus, or similar.
  • Certification in project management (e.g., PMP, PRINCE2).
  • Familiarity with integration tools, web services, and APIs (e.g., REST, SOAP).
  • Prior experience in a higher education or K-12 environment.
  • Ability to manage multiple priorities in a fast-paced and collaborative setting.

Working Conditions

Based at the main campus in Cyberjaya. Normal office hours with flexibility required during system upgrades or major academic periods (e.g. registration, results processing).
