Job Overview

The University Receptionist serves as the first point of contact for students, parents, and visitors, ensuring a

professional, welcoming,

and efficient environment. The role includes handling inquiries, managing

correspondence, supporting university events, and providing administrative assistance.


Responsibilities


  • Greet visitors, students, and parents in a courteous and professional manner.
  • Maintain a neat and presentable reception area.
  • Manage incoming calls, emails, and correspondence, ensuring prompt responses and accurate message
  • delivery.
  • Address student, parent, and visitor inquiries with professionalism and accuracy.
  • Provide information and direct individuals to the appropriate departments.
  • Assist in organizing and managing university events, including logistical coordination and attendee management.
  • Handle event inquiries and provide support as required.
  • Manage the visitor and maintain an organized filing system.
  • Provide support for document preparation, data entry, and internal communication distribution.
  • Draft and dispatch correspondence accurately and on time.
  • Ensure all documents comply with university protocols.
  • Uphold confidentiality, integrity, and professionalism in all duties.
  • Ensure compliance with university policies and standards.
  • Perform any other duties that may be assigned from time to time.


Qualifications and Skills

Required Qualification and skills


  • High school diploma or equivalent (Bachelor's degree preferred).
  • Minimum of 1-2 years of experience in a customer-facing or administrative role.
  • Familiarity with office equipment and basic administrative tools.
  • Strong interpersonal and communication skills.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Positive attitude and adaptability in a dynamic environment.


Preferred Qualification

• Good negotiation skills.
