Job Overview:
We are looking for a proactive and detail-oriented HR and Admin Executive (Foreign Worker and Hostel Management) to manage all aspects of foreign worker administration and office operations. This role ensures compliance with Malaysian statutory requirements, handles visas, work permits, medical screenings, insurance, hostels, and welfare, and oversees day-to-day office administration.
Job Responsibilities:
- Foreign Worker Management
- Handle passport renewal, work permit, application, renewal, medical screening (FOMEMA) and insurance (FWCH)
- Manage hostel applications and ensure compliance with JTK requirements
- Check- in Memo and Check-out Memo including e -visa, levy and repatriation, special pass when necessary
- Update records with authorities (JTK) and manage SOCSO registration & claims
- HR & Administrative Functions
- Monitor attendance, overtime, prepare payroll data and process staff claims while maintain
- proper documentation
- Regulatory & Compliance
- Liaise with authorities (IMM, CIDB, DOSH, MPS,DOE) for licenses and compliance
- Ensure OSHA compliance with Employment Act and environment compliance matters
- Premise Maintenance & Office Operations
- Manage procurement if stationary, pantry, cleaning supplies and liaise with vendors for facility maintenance
- Event & Ad Hoc Support
- Coordinate company events, meetings and celebrations (Hari Raya, CNY, BOD/HOD meetings)
- Handle ad hoc audits (Mcd Audit, paperwork, DOSH/JTK- related) governance matter and support any other administrative task as required.

- Diploma or Degree in HR, Administration, or related field.
- Minimum 3 years’ experience in foreign worker management and office administration.
- Knowledge of statutory systems: FWCMS, EPLKS, CIDB, FOMEMA, MYKKP, MPS.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong communication skills in English and Malay.
- Independent, organized, and detail-oriented with strong regulatory compliance awareness.
