Islands Petroleum is an independently owned fuel and lubes distributor and the exclusive distributor for Mobil Fuel and lubricants in PNG. With the head office based in Kokopo Islands Petroleum operates bulk fuel depots in the NGI, Momase, Highlands, and Southern regions.
Following a recent organizational review, we are seeking a highly motivated, qualified, and experienced professional in the position of:
Senior Contracts Administrator
Based in our Corporate Port Moresby office, this newly established role will work in close collaboration with key stakeholders across our business to lead the management of the end-to-end lifecycle of contacts, ensuring alignment with our broader business objectives.
Key Roles and Responsibilities include:
- Negotiating terms of new and expiring contracts in relation to both lessons learnt and practicality of delivery and execution;
- Assist contract owners prepare Scope of Works suitable for Request for Quotes/ Tenders;
- Carry out contract review and prepare recommendation for Award;
- Preparing and coordination of contracts, Variations (or Amendments), Deed of Settlement/Release;
- Providing contract related training across the business to key staff;
- Administration of contracts to ensure service delivery and expectations are monitored in accordance with the contract deliverables and KPIs;
- Draft and issue contractual correspondence to support contract owners and to protect the interests of the company;
- Prepare Acceptance Certificates and Close-Out documents required under the Contract.
- Analyze contracts to identify potential risks, assess performance, and develop mitigation strategies to resolve issues
Qualifications, Skills and Experience required:
- Tertiary qualifications in Law, Business, or any other related field.
- A minimum of 15 years’ experience preferably in a similar role.
- Experience in the process of preparing contracts up to the award and execution of contract.
- Demonstrated ability to effectively communicate contract terms and negotiate with parties to reach mutually agreeable terms.
- Strong competence to build and effectively manage interpersonal relationships at all levels of the company.
- High level of Attention to Detail to be able to carefully review contracts for accuracy, completeness, and compliance with legal requirements.
- Organizational Skills - Manage a large volume of contracts and maintain organized records.
- Excellent customer services qualities and business judgement.
- Demonstrated ability to lead in the end-to-end completion of the month end process, audit preparation, process improvement and has worked in a tight control environment.
