Job Overview:
We are seeking a highly organized and proactive Operations Executive to support the CEO and COO in driving business execution across departments. This role is critical to ensuring follow-through on key decisions, tracking progress of action items, and maintaining alignment between leadership and functional teams - especially post-sales meetings and cross-functional initiatives.
You will be the go-to person for coordinating operational accountability and ensuring that departmental leaders deliver on agreed timelines and objectives.
Key Responsibilities:
- Meeting Follow-Up & Execution Support
- Document and distribute meeting minutes with clear action items and owners.
- Track and follow up on assigned tasks across departments, especially after sales and management meetings.
- Provide status updates to CEO/COO on weekly progress and delays.
- Cross-Department Coordination
- Serve as a liaison between leadership and departmental heads to ensure strategic initiatives are executed.
- Proactively chase updates and escalate issues or bottlenecks where necessary.
- Operational Reporting
- Assist in preparing weekly dashboards, reports, and summaries for internal meetings.
- Monitor execution of KPIs and deliverables.
- Process Management & Administration
- Maintain and improve task tracking tools and systems (e.g., shared sheets, Zoho Projects, etc.).
- Standardize documentation for meeting minutes, trackers, and internal SOPs
- Support to CEO/COO
- Help prioritize and manage daily tasks and calendars when needed.
- Handle ad-hoc requests and special projects that require coordination and fast execution.
Requirements:
- Bachelor's Degree in Business Administration, Operations, or related field.
- 2+ years of experience in an administrative, coordination, or operations support role.
- Excellent communication and follow-up skills - both written and verbal.
- Strong organizational skills with attention to detail and deadlines.
- Proactive, assertive, and comfortable dealing with senior stakeholders.
- Proficient with Google Workspace, Excel, project management tools (Zoho, Monday.com, etc.)
Preferred Traits:
- Experience in a tech, software, or B2B sales-driven environment.
- Familiarity with ERP, CRM, or SaaS systems is a plus.
- Able to work independently while managing multiple tasks simultaneously.
