JOB SUMMARY:

The successful candidate will be responsible for planning, coordinating, and monitoring IT system–related projects to ensure successful and timely completion. This role involves managing external vendors and engaging stakeholders at all levels to ensure project goals are met according to schedule, budget, and business expectations.

RESPONSIBILITIES:

1. Project Planning & Coordination

  • Lead and manage end-to-end IT system projects, from initiation to closure.
  • Develop and maintain comprehensive project plans, including scope, schedule, budget, and resource allocation.
  • Ensure project plans and progress updates are clearly communicated to all stakeholders.
  • Work closely with both business and technical teams to define project requirements, develop feasible solutions, and ensure outcomes meet business needs.
  • Facilitate project meetings, prepare agendas, track progress, and follow up on action items.

2.Vendor Management

  • Monitor vendor performance to ensure deliverables meet agreed milestones and quality standards.
  • Review technical proposals, specifications, UAT results, and related documentation.
  • Ensure issues are identified early, escalated when necessary, and resolved promptly.

3. Stakeholder & Relationship Management

  • Engage and collaborate with stakeholders at various levels, including Directors, Senior Managers, project sponsors, and business owners.
  • Develop and maintain strong working relationships to support smooth project execution and alignment with business goals.
  • Communicate project updates, risks, and key decisions clearly and promptly.

4. Governance, Risk & Change Management

  • Ensure effective project governance, including project meetings, structured reporting, and decision-making processes.
  • Identify project risks, issues, and dependencies, and implement mitigation plans.
  • Manage change requests, ensuring impacts are assessed, documented, and approved.

5. Financial & Resource Management

  • Manage project budgets, forecasting, and financial reporting to ensure effective use of resources and compliance with financial guidelines.
  • Track project expenditures and ensure alignment with approved budgets.

6. Reporting & Documentation

  • Prepare timely and accurate project status reports for management and stakeholders.
  • Maintain all project documentation, including meeting minutes, project plans, and closure reports.
  • Conduct post-implementation reviews and ensure lessons learned are captured.

REQUIREMENTS:

  • Bachelor’s Degree in IT, Computer Science, or related field.
  • PMP/PRINCE2 certification is an advantage.
  • Minimum 5–8 years of experience in managing IT system or digital transformation projects.
  • Firm, detail-oriented, and capable of managing pressure and tight timelines.
  • Strong communication, negotiation, analytical, and problem-solving skills.
  • Ability to work well with individuals at all levels.
  • Flexible, adaptable, innovative, and goal-oriented.
  • Strong reporting and documentation skills.
  • Familiarity with SDLC (Software Development Life Cycle), UAT, and IT project delivery frameworks.
  • Experience working with outsourced IT vendors is a must.
  • The candidate must be willing to work in Klang.
