We are looking for a highly organized HR Admin & PA to be the heartbeat of our office and the right-hand support to our leadership team. You will ensure our people operations run smoothly and our executives are positioned to focus on high-impact growth. This is a dual-impact role for someone who thrives on order, discretion, and making things happen behind the scenes.

Your Core Responsibilities
1. HR Administration & Compliance
- Records & Data: Maintain accurate employee records and digital personnel files with high standards of data privacy.
- Onboarding/Offboarding: Manage the end-to-end onboarding/offboarding process for all team members.
- Compliance: Ensure the company stays compliant with Malaysian labor laws and that all statutory filings (EPF, SOCSO, etc.) are handled accurately and on time.
- Payroll & Tracking: Assist in payroll preparation by tracking leaves and claims data to ensure 100% accuracy.
- Policy Management: Keep the Employee Handbook and internal HR policies updated as the company grows and scales toward 2030.
2. Personal Assistant (PA) Support
- Calendar & Meeting Management: Own the Founder’s calendar, proactively scheduling high-priority meetings and ensuring their time is optimized for strategic growth.
- Travel & Logistics: Coordinate complex travel itineraries, including flights, accommodation, and transportation, while managing all related documentation and claims.
- Gatekeeping & Liaison: Act as the primary liaison between the Founder and internal/external stakeholders; screen communications to prioritize urgent matters.
- Miscellaneous Bookings & Errands: Manage miscellaneous personal or business bookings and errands to ensure the Founder’s day-to-day affairs run without friction.
- Confidentiality: Handle all sensitive information and correspondence with absolute discretion and integrity.
3. Office Operations & Culture
- Workspace Management: Oversee daily office maintenance and manage vendor relationships (cleaners, supplies, building management) to ensure a productive workspace.
- Team Engagement: Coordinate company events and team-building activities to foster a high-performance culture.
4. Recruitment Coordination
- Hiring Support: Support the hiring process by posting job ads, screening resumes, and coordinating interview schedules between candidates and hiring managers.
- Candidate Experience: Ensure a professional and warm candidate experience throughout the recruitment funnel.
Who You Are
- 2–3 years of experience in HR administration or as a Personal/Executive Assistant.
- Highly Proactive: You anticipate needs and solve problems before they reach the Founder’s desk.
- Meticulous Organizer: You can juggle complex schedules and miscellaneous bookings without dropping the ball.
- Trustworthy: You have a proven track record of handling high-stakes, confidential matters with complete integrity.
- Excellent Communicator: Fluent in English (written and spoken) with a professional presence.
