The main function is to compile, consolidate, and analyze daily gantry meter reading entries to generate the Daily Terminal Activity Report – comparing loading versus lifting volumes. This report forms the basis for daily, weekly, and monthly closing figures, which will subsequently be submitted to KDRM.

  • Actively involved in handling daily office administrative tasks, including records management, access key control, courier and postal services, as well as overseeing and managing staff petty cash claims and disbursements at the terminal.
  • Reconcile daily stock levels of all petroleum products, additives, and POME by cross-checking documents such as meter tickets, gantry meter record sheets, bulk stock, and PDNs from dispatch.
  • Prepare weekly and monthly stock reports for all products in the terminal, ensuring compliance with internal controls and statutory requirements. This includes daily, weekly, and monthly reconciliation of gantry meter readings against sales reports, tank stock records, vessel throughputs, and drummed product records.
  • Analyze and identify stock and document discrepancies, such as cancellations, diversions, suspense transactions, unfulfilled transactions, gantry reports, and tank stock issues, using data from gauging or spreadsheet calculations in collaboration with distribution, gantry, and shipping teams.
  • Monitor product disposal, contamination, and returns/diversions; ensure accurate incorporation into stock reconciliation and prepare all related records in KDRM format for subsequent claims (e.g., subsidies or sales tax).
  • Maintain and organize all documentation for Kastam (Customs) scrutiny and audits, ensuring readiness for unannounced inspections (e.g., tank stock movements, product issues, vessel receipts, borrowings/loans, drumming activities, and additive usage).
  • Manage monthly staff petty cash claims, perform monthly petty cash reconciliation, and ensure accurate closing.
  • Maintain and organize the dead record store to ensure easy retrieval and compliance.
  • Handle daily mailing and courier services, manage access key distribution, and ensure the safekeeping of safety equipment such as safety shoes and helmets.

Qualifications

  • Diploma in any related field.
  • Minimum 2 years related working experience.
