Job Profile: Client Account Clerk

Job Summary
The Client Account Clerk provides administrative and operational support to the Sales and Account Management team by handling customer orders, maintaining account records, coordinating with internal departments, and ensuring timely processing of customer requests. The role helps ensure smooth communication between customers and the company while delivering excellent customer service.
Key Responsibilities
- Process customer purchase orders (POs) accurately and in a timely manner.
- Prepare quotations, sales orders, invoices, and other customer-related documentation.
- Update and maintain customer records in the ERP/CRM system.
- Coordinate with Production, Planning, Warehouse, and Logistics on order status and delivery schedules.
- Follow up on customer enquiries, order confirmations, and shipment status.
- Assist in resolving customer issues by coordinating with relevant departments.
- Maintain filing of contracts, quotations, and customer correspondence.
- Prepare weekly and monthly sales and order reports.
- Monitor delivery schedules and communicate updates to customers.
- Support the account management team with administrative duties and customer meetings when required.
- Ensure all customer documentation is complete and properly maintained.
- Perform other duties assigned by the supervisor.
Qualifications
- Diploma or Bachelor's Degree in Business Administration, Marketing, Accounting, or a related field.
- 1–3 years of experience in customer service, sales administration, account support, or a similar role.
- Experience in a manufacturing environment is an advantage.
Essential Skills & Knowledge
- Familiarity with ERP systems (SAP, Oracle, Microsoft Dynamics, etc.) is preferred.
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
- Good written and verbal communication skills in English and Bahasa Malaysia.
