Job Profile: Facilities Manager

Department: Facilities Management

Reports To: CEO

Key Responsibilities

Operations & Maintenance

  • Manage day-to-day facility operations, including building systems (HVAC, electrical, plumbing, security, etc.).
  • Oversee preventive maintenance schedules and ensure timely repairs.
  • Coordinate with contractors, service providers, and vendors.
  • Ensure all equipment and systems operate efficiently and meet regulatory standards.

Health, Safety & Compliance

  • Ensure compliance with local, state, and federal building codes and regulations.
  • Develop and implement workplace safety programs and emergency response plans.
  • Conduct regular safety inspections, risk assessments, and audits.
  • Maintain documentation for compliance and certifications.

Space Planning & Utilization

  • Plan and optimize workspace layouts for efficiency and employee needs.
  • Lead office relocations, renovations, and construction projects.
  • Manage facility access, security systems, and visitor flow.

Budgeting & Administration

  • Develop and manage the facilities budget, including forecasting and cost control.
  • Oversee inventory and procurement of supplies, equipment, and materials.
  • Review and negotiate vendor contracts and service agreements.
  • Maintain accurate records of maintenance, assets, and facility operations.

Sustainability & Environmental Management

  • Implement energy-efficiency initiatives and sustainable facility practices.
  • Monitor utility usage and identify opportunities for cost reduction.
  • Manage waste disposal, recycling programs, and environmental compliance.

Team Leadership

  • Supervise and schedule maintenance staff, custodial teams, and contractors.
  • Provide training, coaching, and performance evaluations.
  • Promote a culture of safety, teamwork, and operational excellence.

Qualifications

  • Bachelor’s degree in Facilities Management, Engineering, Business Administration, or related field (preferred).
  • Proven experience (3–7+ years) in facilities management or building operations.
  • Experience managing budgets, vendors, and maintenance teams.

Essential Skills & Knowledge

  • Strong knowledge of building systems and maintenance procedures.
  • Excellent organizational, problem-solving, and decision-making abilities.
  • Proficiency in facility management software (e.g., CMMS).
  • Strong communication and leadership skills.
  • Ability to manage multiple projects and respond to emergencies.

Certifications (optional but advantageous)

  • Certified Facility Manager (CFM)
  • Facility Management Professional (FMP)
  • OSHA safety certifications
  • LEED accreditation
